Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support two senior leaders: the SVP/GM, Luxury Brands Group & La Mer, Kilian Paris, and Frederic Malle and the Head of Sales, Luxury Brands Group & La Mer. This role requires strong judgment, agility, and professionalism in navigating a high-volume, fast-paced environment. As the key coordinator across multiple brands, the Administrative Assistant will play a critical role in ensuring seamless operations and executive support.
Key Responsibilities
- Executive & Calendar Management
- Manage complex, dynamic calendars for two senior executives, coordinating across three brands and multiple stakeholders.
- Prepare itineraries, agendas, and briefing materials to ensure leaders are well-prepared.
- Prioritize and organize incoming communications, drafting responses and handling inquiries with discretion.
- Meeting & Project Support
- Organize and facilitate high-level meetings, including logistics, agendas, and follow-up.
- Support cross-functional initiatives and projects within the Luxury Brands Group.
- Serve as liaison between executives and internal/external partners.
- Travel & Expense Management
- Coordinate detailed domestic and international travel.
- Manage credit card expense reconciliation and prepare accurate, timely reports.
- Operational Support
- Maintain filing systems, contacts, and office supply needs.
- Assist with presentations, reports, and projects.
- Leverage AI technology and productivity tools to enhance efficiency in scheduling, communications, and workflow management.
Qualifications
- Minimum 3+ years of experience supporting senior executives in a fast-paced environment.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort with AI-enabled tools.
- Strong organizational skills with the ability to manage multiple assignments and shifting priorities.
- Excellent written and verbal communication skills; polished professional presence.
- Proven discretion in handling sensitive and confidential information.
