Description

This role will provide administrative support primarily to the SVP of Global Communications and Public Affairs.

This individual would possess the ability to build collaborative relationships and proactively seek ways to improve organizational efficiencies. This person will also assist with the execution of retailer and sales meetings and provide support for department initiatives as needed.

Key Roles and Responsibilities:

  • Ensure effective ongoing operations of SVPs office, ability to multi⁃task.
  • Handles/manipulates heavy calendar to include: domestic and some international travel, scheduling daily meetings, senior management requests, retailer meetings, and committee meetings. Proactively manage meeting scheduling and logistics, set conference/video calls involving multiple time zones. Develop relationships with administrative staff to facilitate effective meeting planning and scheduling.
  • Arrange all travel to include: itineraries, agendas, visas, and travel advances.
  • Handles expense reporting using Concur.
  • Maintain up to date appointments, requests and agendas for events on calendar.
  • Screen incoming calls, relay detailed messages and maintain call log.
  • Review all mail, non⁃confidential email.
  • RSVPs/Restaurant Reservations/Car Services.
  • Works closely with SVP to draft and generate appropriate correspondence required.
  • Arrange catering/set up to include but not limited to: breakfast, dinners, prepare travel arrangements, agendas, itineraries and invitations, arranges for transportation, reviews such actions with SVP as necessary.
  • Develop and edit presentations and word documents as needed.

Qualifications

  • Position requires 5 years experience in an administrative environment
  • College or university degree required
  • Proficiency in Microsoft Word, Excel, Outlook and Powerpoint
  • Excellent organization, multi⁃tasking, communication and writing skills
  • Ability to handle a fast⁃paced environment, work well under pressure, problem⁃solve and seek excellence in execution

Pay Range:

The anticipated hourly range for this position is $32.50 to $50.75. Exact hourly rate depends on several factors such as experience, skills, education, and budget. Hourly range may vary based on geographic location. In addition to hourly rate, this position may be eligible for an annual discretionary bonus, education, and budget. Salary range may vary based on geographic location.
